How do I process a Room Service Order?
Step 1: Open the Order from the Orders View.
Step 2: Complete the Order.
Check all items before completing the order.
If you do not wish to process the Order you must click on Close to close the window. This will change the order’s status to 'Incomplete', followed by the username of the last person to open the order.
Step 3: The completed order appears on the list.
The order cannot be edited once complete as shown in the figure below.
Step 4: The order log can be accessed by clicking on the ‘Log’ feature.
This opens the Order Log which shows all the details as shown here.
How do I process a Guest Service Order?
Step 1: Open the Order from the Orders View.
Step 2: Complete the Order. The completed order appears on the list.

What are different Order Status?
There are four types of status:
New: The order is not opened by the user
Open: The order window is currently open, with the user’s name in brackets(). Orders cannot be processed by more than one person at a time. When the user is locked check the link 'How do I unlock an order'.
Incomplete: The order window has been opened, but the user has chosen to click ‘Close' rather than 'Complete’. The last user to open the window is shown in brackets.
Complete: The order has been opened and marked Complete. The user who complete the order is shown in brackets.
How do I unlock an Order?
To prevent one order from being accidentally processed twice, Tapendium allows only one user to process an order at a time.
If a second user opens an order which is already opened by another user - a warning will appear 'You cannot complete the order at this time.
How to solve it?
If you receive a locked screen as in the example above, you must close the window to view the current status of the order. When an order is locked you can take no further action
For the second user to complete the order, the first user must close it and the second user must close and re-open the order.
If a user opens an order, then closes their browser window without logging out of the Admin Portal, the order will stay locked and cannot be completed by other users.
How do I send a Message to a Guest from Order?
Step 1
Open the order.
Step 2
Click on the ‘Message’ tab.
You can either send a message from an existing template or create your own message as shown below.
Option1: Sending a new Message
Type in a Heading and a Description for your message.
Fill in the Expiry date and Expiry Time. This will define when the message should disappear from the tablet.
Click SEND.
Option 2: Send a Message from Template
To send a message Template check 'How to create a Guest Message Template'
Click the drop down and select the message template you wish to send..
Fill in the Expiry date and Expiry Time. This will define when the message should disappear from the tablet.
Click SEND.
Note: If you no longer wish to send a Message, click on 'Close'
How to view the ‘Sent Messages’?
Step 1
Option1: Check the Order Log
The order log will show that a message has been sent. To view the actual message, check Option 2 below.
Option2: View Sent Messages
Browse to 'Manage' in Admin Portal.
Click on the Messaging section as highlighted in the picture below.
Click on the sent message you want to view.
